Top Producer® 8i CRM: Wrapping Up Calls/To-dos for a Contact

Had a conversation with a client or performed a task and now want to record the details and schedule a follow-up task? No problem! You can wrap up a task in less than a minute.

Wrapping up a task or conversation

You can wrap up anything you want – a conversation you had with a contact or a task you completed for them. It only takes a few clicks, and when you do, a completed activity is saved for your records.

View steps

Open the contact’s record (Contacts > Contacts Summary > click the contact). From the contact record’s Summary tab, click Wrap Up.

From the Wrap Up screen, enter the details (see the screenshot below for details).

Tip: You can also wrap up a task you completed for an important date that you entered (for example, you sent a card for a contact’s property purchase anniversary). For details, see Entering Important Dates for Your Contacts.

FAQs

Why would I want to "wrap up" a task?

Wrapping up a task helps you keep track of conversations and actions you’ve taken and schedule follow-up activities. When you wrap up a conversation/task, a completed activity and the details you enter are saved for your records. See Wrapping up a task or conversation above.

Also, if you’re using the Goal Setting app from realtor.com®, wrapping up tasks/conversations helps you track your progress towards your goal.

 

What can I wrap up in Top Producer CRM?

You can wrap up a task you completed or a conversation you had with a contact that wasn’t necessarily planned or scheduled (for example, they called you or you bumped into them on the street). See Wrapping up a task or conversation above for details.

Or, you can wrap up a task you completed for an important date that you entered (for example, you sent a card for a contact’s property purchase anniversary). For details, see Entering Important Dates for Your Contacts.

 

After I wrap up a task, where can I view the completed activity?

From the Activities tab in the contact’s record. (Go to Contacts > Contacts Summary > click the contact. Click the Activities tab > select Complete from the Show drop-down list.)

After I wrap up a task, where can I view the note I entered?

You can view it on the contact record’s Summary tab. (Go to Contacts > Contacts Summary > click the contact > click the Summary tab. In the Show area, ensure the All option is selected.)

When I wrapped up a task, I scheduled the next follow-up task. Where will this task appear when it comes due?

The follow-up task will appear in My Business when it comes due.

It will also appear in the Activities tab in the contact’s record and the Activities page (Calendar > Activities Summary).

 

How is wrapping up a task/conversation different from marking an activity done when I've completed it?

Marking an activity done is available for activities you’ve already planned and scheduled in Top Producer CRM. But what about when a contact calls you or you bump into them on the street? You want to record the details and possibly schedule a follow-up, right? That’s when you would wrap up a task from the contact’s record.

 

What is the Change pipeline status option available when wrapping up a task?

This helps you track where your clients are in the lead lifecycle. Assigning statuses allows you to easily address the unique needs of each stage and provides an accurate view of your pipeline at any time. For details, see Tracking the Lead Lifecycle Using Statuses.
