Top Producer® 8i CRM: Creating a Prospect Report

There are three prospect reports available to help keep you organized and on top of your prospecting efforts – the Prospect List, Prospect Activity Report and the Excluded from Prospect List report.

How to create a Prospect Report:

  1. From the main menu, hover over the Calendar menu and click Prospect List.

  2. Click the Create Report link at the bottom.

Prospect List Report

  1. At the top of the Prospect List page, click Show breakdown and click the tab representing the list of prospects you want to include in the report.

  3. Note: You can also generate this report from the My Prospects tab on the Dashboard. However, only the prospects displayed on the My Prospects tab are included in the report.

  4. In the Create Prospect Report pop-up select Prospect List from the Report drop-down list then from the Sort by drop-down list, select whether you want the report sorted by Name, Reason, or Last Contact date.

  5. Click Done.
  6. The report will open in a new browser window or tab as a PDF. From here you can save the report to your computer or print it.

Prospect Activity Report

After completing step 1 and 2 from the How to Create a Prospect Report section:

  1. Select Prospect Activity Report from the Report drop-down list.
  2. From the Print Report for drop-down list, select the time period you want the activities to show for starting from Today up to 7 days ago.

  3. Click Done.
  4. The report will open in a new browser window or tab as a PDF. From here you can save the report to your computer or print it.

Excluded from Prospect List Report

This report will include all Contact and Lead records in your database that have been excluded from the Prospect List. After completing step 1 and 2 from the How to Create a Prospect Report section:

  1. To print a report of all contacts you have chosen to exclude from your Prospect List, select Excluded from Prospect List from the Report drop-down list.

  2. Click Done.
  3. The report will open in a new browser window or tab as a PDF. From here you can save the report to your computer or print it.

How to Print or Save a Report

Once any of the reports are generated, they will either open up in a new tab or browser window:

  1. You can download the report to a CSV (a simple file readable by virtually any database or spreadsheet program) or XLS (a Microsoft Excel file) format. To do this, from the drop-down list box at the top of the screen, select the file format in which you want to download the report, and then click Download Report.

  2. Click Open to view the report in the selected file format, or click Save to save the report in the selected file format.
  3. You can also just print the report by clicking the Print icon print-icon, or Save a copy of the report in PDF format to your hard drive or another location by clicking the Save icon save_icon.
