Contacts and Leads are streamlined

Contacts and leads have the same functionality. Whether you’re viewing a record, adding a contact or lead, or generating a report, the same functionality will be available.

The statuses clearly define where your sales opportunities are in the lead lifecycle, and you decide when a lead is ready to move to the next stage and change their status.

How will the statuses help me categorize my leads and contacts?

The statuses clearly define where leads are in their lifecycle, enabling you to easily address the unique needs of each stage. The Sales Pipeline organizes your leads and provides quick access to each status.

Keeping the status of your sales opportunities up to date will help you determine what actions you need to take. For example, when first contact with a new lead isn’t successful, moving the status to Engage serves as an important reminder that follow-up is required. Once you’ve qualified the lead, moving the status to Active (for a short-term opportunity) or Future (for a long-term opportunity) lets you know exactly where the lead is in their lifecycle.

 

What are the contact statuses and how are they assigned to contacts and leads?

There are seven statuses to identify where your sales opportunities are in their lifecycle. For details on these statuses, see Tracking the Lead Lifecycle Using Statuses.

With the exception of the New status, which is automatically assigned to new leads you enter and those you receive from your lead providers, you decide when to move a lead or contact to the next stage. See the next FAQ for details.

 

How do I assign a status to a lead or contact?

You can assign a status by clicking the Update Pipeline Status update-pipeline-status icon from the Sales Pipeline.

And you can also assign a status from the Contact Record.

Will marking an activity done or another action in Top Producer cause a contact or lead's status to change?

No, the status will not automatically change in Top Producer. You can manually change a lead or contact’s status from the Contact Record. See the FAQ above for details.

 

Can I update the status of multiple contacts at the same time?

Yes, using the Mass Update feature, you can update the statuses of multiple contacts at once.

  1. Go to Contacts > Search for Contacts.
  2. Click the Advanced Search tab.
  3. Perform a search for the contact status you want to change. (From the with drop-down list, select Contact Status, and then click Select from List to select the status).

  4. When finished, click Done > Search.
  5. From the Search Results list, select the contacts you want to change and then click Mass Update.
  6. From the Contact Status drop-down list, select the status and then click Update Contacts.

    The selected contacts will be updated with the status you selected.

 

Can I assign leads to my team members and, if so, can I assign multiple leads at the same time?

If you have a team/partner account, you can assign leads to your team members from the Sales Pipeline. Simply go to Contacts > Sales Pipeline > select the lead(s) > click Assign to Agent.

You can also search for leads and assign them to your team members using the Mass Update feature.

  1. Go to Contacts > Search for Contacts.
  2. Click the Advanced Search tab.
  3. Perform a search for the leads you want to assign. For example, if you want to assign all new leads to a team member, from the with drop-down list, select Contact Status, and then click Select from List to select the New status.

  4. When finished, click Done > Search.
  5. From the Search Results list, select the leads you want to assign and then click Mass Update.
  6. From the Assigned to drop-down list, select the team member you want to assign the leads to and then click Update Contacts.

    The leads are assigned to the team member you selected.

 

I imported contacts into Top Producer and all of the contacts were assigned the Future status. How do I quickly assign a different status to these imported contacts?

You can perform a search for the contact type you assigned to your imported contacts, and then perform a mass update to update their status.

  1. Go to Contacts > Search for Contacts.
  2. Perform a search for the contacts you imported. (In the Contact Type field, click Select from List to select the contact type you assigned to the contacts you imported.)

  3. When finished, click Done > Search.
  4. From the Search Results list, select the contacts you want to change and then click Mass Update.
  5. From the Contact Status drop-down list, select the status and then click Update Contacts.

    The selected contacts will be updated with the status you selected.

 

Is there a report I can generate that gives me a clear picture of my pipeline?

Yes, the Sales Pipeline Status Report shows you which sources provide the most leads, where most of your leads are in your pipeline, and your conversion rate*. Just click the Home menu item > Pipeline Status Report to generate the report.

*Based on how many have a Closed pipeline status.
