Top Producer® 8i CRM: Available Pre-Defined Criteria

Below is a list of each available pre-defined criteria (rule) that can be used for selecting contacts to be included in your Prospect List. For information about applying or removing these criteria, see How to Generate a Prospect List using Pre-defined Criteria.

Options Criteria Description Details
Basic Options New contacts or leads that have never been contacted  

This means that contacts or leads received within 7 days are added to your Prospect List if they have not yet been contacted.

Contacts or leads that have viewed a Market Snapshot in the past week  

This means that contacts or leads that have viewed a Market Snapshot in the past week are added to your prospect list.

If you don’t want to include leads that you have not contacted for over a year, clear the Include contacts and leads that have not been contacted for over a year option on the Advanced tab.

New and Engage contacts or leads that have not been contacted for over a week  

This means any contacts with a status of New or Engage that have not been contactaced for over a week are added to your prospect list.

If you don’t want to include leads that you have not contacted for over a year, clear the Include contacts and leads that have not been contacted for over a year option on the Advanced tab.

Contacts ready to buy or sell that have not been contacted for over a week  

This means that contacts who have reached their “Transaction Dates” in the Lead Qualification Status are added to your Prospect List if you haven’t made contact for over a week.

If you don’t want to include contacts that you have not contacted for over a year, clear the Include contacts and leads that have not been contacted for over a year option on the Advanced tab.

Contacts that have not been contacted for over 2 months  

This means that contacts are added to your Prospect List if you haven’t made contact for over 2 months.

If you don’t want to include contacts that you have not contacted for over a year, clear the Include contacts and leads that have not been contacted for over a year option on the Advanced tab.

Advanced Options Contacts and leads that have never been contacted  

If this option is selected, those you have never contacted will be added to your Prospect List for follow up.

Contacts and leads without a name or contact method in their record  

When this option is selected, contacts and leads that don’t have a name, phone number or email address specified in their record are included in your Prospect List.

Note: When checking for contact information, this criteria only checks for a primary email address, home, business, mobile or pager number. Contacts and leads that contain only fax numbers, “Other Numbers” or “Other Emails” will not be considered a “match” since those fields are not examined as part of this rule.

Include contacts and leads that have not been contacted for over a year  

If this option is selected, those you haven’t contacted for over a year will be included when the following Basic criteria are selected and evaluated:

  • Contacts or leads that have viewed a Market Snapshot in the past week
  • New and engage contacts that have not been contacted for over a week
  • Contacts ready to buy or sell that have not been contacted for over a week
  • Contacts that have not been contacted for over 2 months

For example, if you select the New and Engage contacts or leads that have not been contacted for over a week option on the Basic tab, New and Engage contacts that have not been contacted for over a year will also be added to your Prospect List.
