Top Producer Mobile: My Business FAQ

General

What information does My Business display?

From My Business you can view your call, appointment, listing, closing and to-do activities (tasks). These are activities either created by you or are a result of a plan that you applied.

In addition, if you have a team/partner account, you can view your team members’ calendars and availability and schedule appointments for each other. See the Team Calendar section below.

How do I know which activities require my immediate attention?

Marking an activity as high priority displays a visual indicator (priority-list-icon) when viewing activity lists to remind you that the activity requires your immediate attention.

Can I view completed activities from Top Producer Mobile?

Yes, in the My Business Calendar view, completed activities appear below the calendar. In the My Business List view, tap the tab once to view incomplete activities. Tap the tab a second time to view completed activities.

How do I complete a call activity?

From My Business, tap the call activity to display its details, and then tap the Call (phone-icon) icon. Also, when viewing your activity list, you can swipe the activity description and then tap the Call (phone-icon) icon. These options are only available if the contact has a phone number entered in their record.

Immediately after placing a call, you will be prompted to record the touchpoint and schedule a follow-up activity.

Can I create letter and email activities in Top Producer Mobile?

No, activities that require a template (for example, letters, envelopes, etc) must be created/edited in the Top Producer CRM desktop application. These activities can be viewed in Top Producer Mobile, but the template you applied will not appear.

Can I set an activity to repeat in Top Producer Mobile?

No, repeating activities must be created in the Top Producer CRM desktop application. You can edit repeating activities in Top Producer Mobile. However, only the instance you edit will include your changes. All future occurrences will remain unchanged.

Can I add activity notes in Top Producer Mobile?

Yes, you can view view-icon, add add-note-icon, edit edit-icon or delete an activity note when viewing an activity. Any notes you add can also be viewed from the Notes list and will automatically be linked to the activity and any associated contacts, listings or closings.

I have a plan activity that has other tasks that are dependent on its completion date. When I mark this activity done, what will the completion date be set to?

When you mark this activity done in Top Producer Mobile, the completion date is automatically set to the date it was marked done. Therefore, the dependent tasks will occur the specified number of days after this activity was marked done.

Why isn't the activity I marked done appearing in the Complete section in the Calendar view in My Business?

When you mark a single activity done, the completion date is set to the date the activity was scheduled for. For example, if the activity was scheduled for August 19th, but you marked it done on the 20th, the activity will appear in the Complete section in the August 19th Calendar view. Plan activities are handled differently-see the FAQ above.

Why aren't all my activities appearing in the list?

From the List view, call, listing, closing and to-do activities for the current day and last 7 days appear, while appointments scheduled for the current day and next 7 days appear.

From the Calendar view, only activities for the current day appear, unless the activity was added in the Top Producer CRM desktop application and you specified how long it should appear in activity lists.

For example, if you set a reminder for 5 minutes before an appointment, you will receive the email reminder 30 minutes before the appointment is scheduled. This is to ensure you receive your email reminders on time.

listings-tab-desktop

Can I set listing/closing activities to be dependent on important listing/closing dates?

Yes, when adding/editing an activity that is linked to a listing/closing, tap Adjust with and then select the listing/closing date you want the activity date to be dependent on. If you change this date in the Top Producer CRM desktop application, the activity date will automatically change too.

auto-adjust-dates

When I add an activity and set it to auto-adjust with the listing date, shouldn't the activity date automatically change to the listing date?

No, the activity date will automatically adjust when future changes are made to the associated listing/closing date in the Top Producer CRM desktop application.

For example, you add a listing in the Top Producer CRM desktop application with a listing date of December 1st. You then add an activity to occur one day after the listing date (December 2nd) and set the activity date to automatically adjust to the listing date. When you change the listing date to December 10th in the Top Producer CRM desktop application, the associated activity date will change to December 11th (one day after the listing date).
