Create an 8i Action Plan and Apply it to a Contact

With Top Producer 8i, you can create your own action plans and assign them to specific contacts. Here’s how it’s done.

1) Login to Top Producer 8i and go to the Calendar main menu icon. Then click Plans Manager from the dropdown menu to view all action plans.

2) To create your own action plan from scratch, click Create Plan at the bottom of the Plans Manager page. An easier way to create plans is by copying existing plans and adding/removing specific activities.

When you create / copy a plan, you’ll need to give your plan a detailed name, so you’ll know exactly what the purpose of the plan is when applying it to a contact later on. Ensure that Action Plan is selected as the Type of Plan. Then click the Save and View Plan button to start adding action plan activities.

3) Click the Add Activity link to add activities to your plan. You can also click the description of an existing activity to modify its details.

The Add Activity form opens, which allows you to begin building your new action plan by adding and scheduling activities.

Once your action plans are set up to address different kinds of contacts and scenarios, you can start assigning them to contacts in your database. You can link an action plan to a new contact that you’re adding, or to an existing contact that is already saved in your 8i.

4) To apply an action plan when adding a new contact, in the Add Contact form you’ll find the Apply Action Plan dropdown list. Select the action plan you wish to apply to this contact, and verify the Start Date of when you would like the plan to begin. Once you click the Add Contact button to save the record, the action plan’s activities are scheduled for that contact and will appear in the contact record, as well as in your Today’s Business and Activities Summary screens.

5) To apply an action plan to an existing contact, open the contact to view his or her full details from the Contact Details form. From the Activities tab, click the Select Action Plans link. A small window opens on the Activities tab displaying a list of all action plans. Place a check mark next to the ones you’d like to apply and select a start date. Then click Save to apply the action plan(s) to the existing contact.

Any action plans that are applied to the contact will appear in the contact header for easy reference.
