Following-Up The Easy Way

Make every prospecting call and meeting count. Use TOP PRODUCER’s Follow-up circuit to quickly execute comprehensive follow-up every time.

At a recent real estate sales seminar, one of the industry’s major trainers lightheartedly asked his audience: "What are your favorite reasons for not following up? Too many listings? Don’t have an organized plan for following-up? Too busy planning to follow-up?"

We all know that systematic follow-up is essential to building a prospect base and developing the high-touch relationships that secure repeat business.

According to our research, mega-producing agents consistently use a three-step follow-up system. TOP PRODUCER’S Follow-up circuit feature was custom-engineered to let you perform these three steps as quickly as possible with the fewest number of clicks:

  1. Make notes about the meeting or call
  2. Set a next call date
  3. Send a note or postcard

DONE!!!

The Follow-up circuit is the easiest way there is for you to put an immediate seal on every new and renewed contact -- while the connection’s still fresh in their mind and yours. When used regularly, the Follow-up circuit eliminates the chance that you might forget to perform some or all of the optimal follow-up steps. Just do it and get back to prospecting. . .or move on to the fun stuff like closing all the listings and deals you’re going to get.

You’re cold calling in a neighborhood where you’ve just taken two new listings. You get talking with a likely prospect who says that she and her husband are thinking of selling when their kids get out of school.

This is an opportunity you can’t afford to waste or let anyone scoop
on you. Why not seize the moment like high-volume agents always do?
TOP PRODUCER’s Follow-up circuit lets you make notes, schedule a next call date and send a thank-you note in less than a minute, depending on the length of your notes. Use this fast and failsafe feature, watch your business boom and you’ll soon forget all your favorite reasons for not following up.

P r a c t i c a l   T e c h n i q u e:

  • Click on Address Book select the contact, and click on Contact Record).
  • Once you have the Contact Record on your screen, click on Follow-up circuit. A new screen named Follow-up circuit Step 1 will appear.
  • Enter any notes you would like to write about your conversation with the contact and then click on OK.
  • Another screen named Follow-up circuit Step 2 will appear a few seconds later.
  • Click on Reason and select the reason for your follow up call, then click on OK.
  • Select the Date of call
  • Click on Activity.
  • Select an activity and click on OK
  • Select start and end time of the call by clicking on the up/down arrows
  • Click on OK
  • Another screen, named Follow-up circuit Step 3 will appear within a few seconds. Click on Select Letter.
  • Double click on the letter type you wish to send.
  • Click on the actual letter you wish to send and then click on OK. (If you want to view the letter first click on View Modify and when you are satisfied that it is the letter you want, click on the X at the upper right hand corner of your screen and click on OK.
  • Click on OK to print the letter.
  • Click on OK to print an envelope. (If you want a label, click on the Label button).
  • You have now completed a professional level follow-up in record time.
