If you’re using the Data Conversion Tool for the first time, follow the instructions below to convert Top Producer desktop database(s) into Top Producer 8i. If you’ve already tried to convert your Top Producer desktop database and you encountered any of the below scenarios, contact Top Producer Technical Support:
- You didn’t receive a "Successful conversion" email.
- You cancelled the conversion process after it began.
- The conversion failed.
A Technical Support representative will ensure your data is properly converted for use in 8i.
IMPORTANT! Make sure you complete the steps in the “6i Data Conversion Tool - Preparing for a Desktop Data Conversion” article before converting your Top Producer desktop database. The conversion process can take some time to complete if you have a large database, during which you won’t be able to use 8i. We recommend you perform the data conversion process when you won’t be using your computer (or 8i) for a little while.
Once you have Saved the 6i Data Conversion Tool, double-click the TP Data conversion.exe icon on your desktop to install and open the Top Producer 6i Data Conversion Tool.
Note: If during the installation you are prompted to restart your computer, click OK to restart your computer.
To convert and import your data using the Top Producer Data Transfer Wizard, complete the steps below.
Tip: If the Top Producer Data Transfer Wizard doesn’t start automatically, double-click the TP Data conversion.exe icon on your desktop.
- The Welcome to the Top Producer 6i Data Transfer Wizard window opens. Click Next.
The wizard now checks for assistants. If any assistants are detected in your Top Producer desktop application, you’ll see the Assistants detected window before the Top Producer Desktop login window displays. If you have assistants in your Top Producer desktop application who have activities assigned to them, the activities will be reassigned to the agent unless the assistant accounts are created first in Top Producer 8i. If this applies to you, and you haven’t created the assistant accounts in 8i, cancel the data conversion, and log in to Top Producer 8i.
For information on how to create an assistant account in Top Producer 8i please click here. - Use the Data Conversion Wizard - Top Producer desktop login window to select the agent whose Top Producer desktop application database(s) you want to convert. Choose an agent name from the Agent name drop-down list. If the agent has a password, type it in the Password field, otherwise leave it blank and click Next to proceed.
- If you have multiple desktop databases, the Select database(s) to convert window displays. Choose the database(s) you want to convert from the Database names box. Hold down the Ctrl key to select multiple databases. Click Next to proceed.
Note: If you have a single desktop database, the Select database(s) to convert window won’t display.
- In the Data Conversion Wizard - Top Producer 8i login window, type in your 8i Username and Password and click Next.
IMPORTANT! If you have previously converted a Top Producer desktop database that included the newest features, and select it again, the Data Conversion was successful window displays. This is a safeguard to prevent the duplication of your data, so you won’t be able to convert the same database twice. Click to deselect the previously converted database, select a different database, then click Next to proceed.
If you’ve previously tried to convert your data and the conversion failed, or you canceled the conversion process once it began, you’ll see the Data conversion recovery window. If this scenario doesn’t apply to you, skip to step 6. - If you see the Data conversion recoverywindow, refer to the following options:
- If you’ve entered data into your Top Producer desktop database since your previous data conversion, select Start the data conversion process over again from the beginning, and click Next. Skip to step 6.
- If you haven’t entered data into your Top Producer desktop database since your previous data conversion, select Retransmit my converted data to Top Producer Online, then click Next. Go to step 6.
Note: If you haven’t entered an email address in Top Producer 8i Agent setup, the Appointment reminder email address window displays. If you want your appointment reminders to be converted into 8i, enter an email address in the text box. If you don’t want your appointment reminders to be converted, leave the email address text box blank. Click Next to continue.
- The How do you want to convert your data? window displays. Select the Perform a full conversion of my Top Producer desktop database option.
If you’re a new user who’s never converted the Top Producer desktop database for use in Top Producer 8i, select the Perform a full conversion of my Top Producer desktop database option, then click Next. - In the Data Conversion Wizard - Conversion notification email address window, enter the email address you would like to recieve notification that the data conversion process has began and when has been succesfully completed.Then click Next.
- Your data will begin uploading to Top Producer 8i in preparation for conversion.
The Data Conversion Wizard - Converting your data window displays the progress of the data upload. If you have a large Top Producer database, this may take a while.
Note: Don’t run the Top Producer Data Conversion Tool again, or log in to Top Producer 8i until you’ve been notified by email that the data’s been successfully converted. Doing so may cause loss of data for the ongoing conversion.
- When the data upload is finished, click Close in the Data transmitted successfullywindow. Once your data’s been uploaded to Top Producer, it’s placed in a queue awaiting conversion.
Note: If you don’t receive an email within 24 hours stating that the conversion was successful, contact Top Producer Technical Support to determine the status of your conversion. Discontinue using your Top Producer desktop application once you’ve converted your data into Top Producer 8i.
- You may log in and begin using 8i only after you’ve received an email advising you that the data conversion is successful.
IMPORTANT! If you’ve previously converted your Top Producer desktop database for use in Top Producer 8i, DO NOT select Perform a full conversion of my Top Producer desktop database. This will duplicate your data. Contact Technical Support for help on importing only new data into 8i.
