It’s often the case that in the process of helping a contact sell a property you perform unscheduled activities on behalf of your client, usually with some sort of expense involved. These types of activities are called service activities. They’re typically last-minute or unplanned minor activities that are usually recorded after you perform them. Service activities can be added to listings and closings.
Showings are unique in that they count as service activities, even though they can be scheduled ahead of time.

Adding a Service Activity to a Listing

  1. From an open listing record, go to the Activities tab.
  2. Click the Service Activities and Showing subtab and click the Add Service Activity link to open the Add Service Activity segment below.

  3. Today’s date and time are automatically entered, but you can change these values. Give the service activity a descriptive name, and enter any expenses you may have incurred and any additional details.

    Note: It’s important to be clear with the details of your service activities, as this information shows on service reports you can provide to your contact.

  1. Click the Save Service Activity button. The saved service activity is now listed on the Service Activities and Showings subtab.

Adding a Showing to a Listing

  1. From an open listing record, go to the Activities tab.
  2. Click the Service Activities and Showing subtab and click the Add Showing link to open the Add Showing segment below.

  1. If the agent is new, click the Create New Showing Agent option button to create the agent right on the segment. You can add the showing agent to your contact database and allow emails to be sent to the person.
  2. If the agent already exists as a contact in 8i, click the Select from Contacts option button to drag and drop a contact from the Contacts Look-up tool that appears to the right of the form.
  3. Today’s date and time is automatically entered, but you can change these values. Add any details the showing agent may need to know.
  4. Click the Save Showing button to save the showing and list it on the Service Activities and Showings subtab.
