The Contact Record Header

The Contact Record Header appears at the top of every Contact Record and provides both summary information and options to perform actions for this Contact. The majority of information displayed in the Header is obtained from the fields and options available when Editing a Contact.

Contact Photo and Summary Information

Contact Photo

The Photo area displays the photo that is associated with the Primary Contact (owner) for this record. If there is no photo, the silhouette image depicted in the example will be displayed instead. The Contact Photo can be added in the Photos tab, which is available when Editing a Contact. Alternatively, if there is no photo uploaded and you have configured Social Media Activity to receive this Contact's Facebook  or Twitter updates, 8i will use the Profile image from their Facebook account or Twitter account.  If it is set to receive updates from both Facebook and Twitter, it will use the picture from Facebook as default.

 

Contact Name

To the right of the Contact Photo is the Contact Name and their Spouse/Partner name if applicable.  Also to the right of the Contact photo is the View Contact Information icon contact-info-icon, which when clicked will display a popup containing a summary of phone numbers, email addresses, properties, and the record Creation and Last Updated dates.  If the contact has a Spouse/Partner or information entered under the Family & Friends tab, then beside the View Contact Information icon, a Family & Friends icon family-friends-icon will appear.  When this icon is clicked a popup will display containing a list of their Family & Friends which includes information regarding thier birthday, age, phone number, email addresses, their relationship to that person and whether or not they are a resident of the same household.

If you have enabled Top Producer Synchonization, the Sync icon Contact Sync Icon will appear in the header to indicate if this contact has been included in the synchonization. If the icon is grey, the contact is not part of the sync. If it is colored, the contact is included in the sync. Click the icon to change its sync status.

Below the name is the Contact Information and their Primary Address.

Contact Status Indicator

contact-statusThe Contact Status indicator shows the current status of this contact, which is either automatically generated by the system, or manually selected. Clicking the Contact Status will allow you to manually change the status.

Seller or Buyer Preferences

This area shows information entered into the Buyer Preferences section in the Lead Info tab. It is a quick reference to remind you of what type of property this contact might be interested in purchasing. Clicking the More >> link will display more detailed information.

Important: The Buyer Preferences will only display in header if the contact has the Lead Type set as Buyer or Buyer and Seller or has the Contact Type, Buyer applied to them.

This area shows the Active Listings that show under the Listings section in the Listings/Closings tab. It is a quick reference to remind you of what active listings this contact has. Clicking the Listing Address under Active Listings will display the listing in a new tab.

Important: The Active Listings will only display in header if the contact has the Lead Type set as only Seller or has the Contact Type, Seller applied to them.  If Buyer is selected under Lead Type or is assigned as a Contact Type, by default Buyer Preferences will display instead of Active Listings.

Perform Action

The Perform Action Menu provides a list of actions that are frequently performed for Contacts. While these actions are also available in various other areas of 8i, this feature brings them together in a convenient list inside the Contact Record.

  • Create Market Snapshot: If you subscribe to Market Snapshot, this option opens the Create Snapshot window where you can quickly create and send a Snapshot to this Contact. For more information, see Sending a Market Snapshot to a Contact from Top Producer.
  • Subscribe to Newsletter: Subscribes the contact to receive newsletters.  For more information, see Subscribing Top Producer Contacts to your Newsletter.
  • Add to Sync: If you have enabled Top Producer Synchonization, clicking this option will include this contact in the sync. If included already, this option will say Remove from Sync.
  • Apply Action Plan: Opens the Select Plans popup where you can Apply an Action Plan to this contact.
  • Email All: Opens the Compose Mass Email screen and automatically adds all email addresses in the Contact Record.
  • Schedule Follow-Up: Opens the Add Activity screen and automatically associates this contact with the activity.
  • Perform Mail Out: Opens the Perform Mailout Wizard and automatically associates this contact with the mailout.
  • Create Flyer: Will prompt you to choose a Property belonging to this contact, then begin the process of Creating a Flyer.
  • Create Presentation: Opens the process for Creating a Presentation and automatically associates this contact with the Presentation.
  • Create Referral: Open the Add Referral screen and automatically adds this contact as the Referred Contact.

Print Report

The Print Report menu opens a list of all available reports that you can generate for this Contact. Each report includes a different selection of information. For detailed information about creating reports, see Available Contact Reports.

Things to Talk About

Clicking the Things to Talk About option opens a popup where you can Search Listing Data contained on Realtor.com based upon the Property Addresses in the Contact Record, or the information in their Buyer Preferences. The information returned includes a summary of listing data and maps showing the listing locations. This feature is designed to help give you relevant information to discuss with the contact when you meet with them, call them, or create marketing message.
