Filter Options

A filter determines the data that is transferred from Top Producer to the handheld device. It can reduce data from the following sections: contacts, activities, notes, listings and closings.

Note: A filter is only applied during the initial setup process, not during each synchronization. Therefore, all new data entered into Top Producer after the initial setup process will be sent to the handheld device regardless of the filter settings.

Important: A filter should not be changed once it is created. To properly change a filter you must first delete the existing device and then setup the filter while registering a new device.

Contacts:

By default, Top Producer will send all contacts to the handheld. Although the contacts can be filtered via several categories (i.e. city, state, area code… as illustrated below), the most commonly used filter option is contact type.

If you wish to only send contacts within specific contact types, select match any of and place a check mark next to one or more contact types. Contacts matching any of the selected contact types will be sent to the handheld device. Ensure Apply Filters to Leads is set to Yes; otherwise all leads within the database are exempt from the filter conditions and will be sent to the handheld device in addition to the contact types selected.

Note: Top Producer will automatically send any contact to the handheld that is linked to an activity, listing or closing, even if the contact was specifically excluded by the filter.

Activities:

Activities sent to the handheld include To-Dos, Calls, Appointments, Listing To-Dos and Closing To-Dos. By default, Top Producer will send activities assigned to any user within the account, that are scheduled from one month in the past and going forward indefinitely.

If only one user’s activities are required on the handheld, use the drop down menu and select a name from the list. Selecting a date range will only send activities scheduled between the start and end dates.
Send marked done activities should be set to no, otherwise, previously completed activities will also be sent to the handheld.

Note:Top Producer for Blackberry and Top Producer for Windows Mobile will NOT show the calendar for any user other than the user setup to synchronize with the handheld device.

Note:The start date and end date for the date range are set dates, they will not automatically update or roll forward.

Notes:

Notes include Contact notes, Listing notes and Closing notes. By default, Top Producer will send to the handheld device any note created up to six months in the past and all future notes entered.

Note: Notes on the handheld require a lot of storage memory. If the handheld device is low on free space, it is recommended to not send any notes.

Note: The start date and end date for the date range are set dates, they will not automatically update or roll forward.

Listings:

By default, Top Producer will send all listings with a status of status of Active, Pending (Showing), Pending (Not Showing), Pending/Firm and Pending/Backup. The listings can be further reduced by entering a date range.

Note: Sending all listings requires a lot of storage memory. It is recommended to select Active Only, which will send all listings except those with a status of Expired, Closed/Paid, Withdrawn and Cancelled.

Closings:

By default, Top Producer will send all closings with a status of status of Pending (Showing), Pending (Not Showing), Pending/Firm and Pending/Backup. The closings can be further reduced by entering a date range.

Note: Sending all closings requires a lot of storage memory. It is recommended to select Pending Only. Selecting Pending Only will send all closings to the handheld except those with a status of Closed/Paid and Fell Thru.
