Adding Contacts

There are two methods for adding contacts in Top Producer 8i, depending on the level of information you’ve collected for your contact. If you have only basic contact information, use the Quick Add portlet. To enter detailed information, use the Add Contact form.
The quick method is used to capture basic information about a contact and is best for recording information about coworkers, related professionals, etc.
Contacts who might become clients should be entered using the detailed method. Using the detailed method gives you access to 8i features that help you gain and retain the contact’s business.

Adding a Contact via the Quick Add Portlet

  1. Click the Quick Access button at the top of any page, and click the Quick Contact bar to open the Quick Add form.

  2. Fill out the fields and add an optional note.
    Note: The note will only be visible from the contact record.
  3. Click the Add Contact button to save the contact and clear the form.

Adding a Contact via the Add Contact Form

From the main menu, select Contacts and then click Add Contact to open the Add Contact form.

  1. In the Name Details segment, open the Contact Type drop-down list and select as many types that apply. Click the Done button to close the list and add your selections to the field.

    Click the Add link to add another contact type selection to the drop-down list.

    Note: Assign at least one Contact Type whenever possible. This allows you to perform searches to generate lists of specific contact types for targeted and personalized marketing messages.

  2. Add the contact name in one of two ways:
    • Type the full name in the Name field. 8i automatically divides the name into title, first and last name, etc.
    • Click the Name details link to enter the title, first and last name in separate fields. Click the Done button to save the contact name.
  3. Complete the rest of the Name Details fields.
  4. In the Contact Info segment, include a way to get in touch with the contact. Click the Add Additional Contact Method link to add as many contact methods as you like.
  5. In the Primary Property segment, add the contact’s primary property details.

    Tip: You can use the Tab key on your keyboard to move through fields and make a selection from drop-down lists. For example, from the Street Name field tab into the Street Type drop-down and type “l.” The field will show “Lane.” If you type “l” again the selection changes to “Loop.”

  6. From the Contact Management section, you can select and apply an action plan, or add any additional notes.
  7. Click the Add Contact button to save your contact. If you have more contact details to add, click the Save & Add More Details button to save the contact information and open the Contact Details form. The Save & Add Another button allows you to save the current contact and open another Add Contact form.
