Mass Mailing LivePost Documents
Important: The steps provided in this article only apply if you are using LivePost version 3.5.x or newer. If you are using a version prior to 3.5.x, the Mass Mailing Documents feature is not available. Instead, use the steps provided in Printing LivePost Postcards.
If you are creating LivePost postcards for 200 or more contacts at the same time, using the Mass Mailing Documents feature will reduce the amount of time it takes to process the Printjob. Mass Mailing Documents is a two-step process, compared to the one-step process provided in Printing LivePost Postcards. While this requires that you perform additional steps within Top Producer, it will greatly reduce the overall time spent waiting while your computer is occupied with processing the request.
The two steps are:
- Create a postcard activity (or mailout) using your chosen LivePost template for one contact only - it does not matter which contact as they will not be used for the mailout. Then save the postcard PDF file to your computer.
- Create a second postcard activity (or mailout) using the Mass Mailing Template and include all of your desired contacts, then save the postcard PDF file to your computer and use the Mass Mailing Documents feature to submit both files to LivePost.
When your printjob is processed by LivePost, the first file (Step 1) is used to obtain the template design information (the contact is ignored), and the second file (Step 2) is used to obtain all of the contact information (the template is ignored). The information is combined by LivePost to create the final printjob.
Step 1: Create a Postcard for any one Contact
- In the Marketing Menu, select Create Postcard.
- Use the Category pull-down menu on the right to browse through the LivePost postcard categories. When you have located the desired postcard template, left click and drag it into the Postcard Template box on the left. Click Next.

- Type a Description into the Field so that you can identify the activity later.
- In the Contacts list on the right, select any contact from the list and drag them into the Contacts Box. It does not matter which contact you choose since the information will be ignored. Click Create Postcard.

- In the postcard preview window, make any desired changes to the postcard content. Remember that the Contact's information does not need to be removed/edited, as it will be ignored. When finished, click Print Postcards.

- This loads the Preview Activity window, which displays the final postcard design. Review the postcard to be sure it is correct.
- Click the Save option in the preview toolbar.
- It is required that you save the file in the LivePostDocuments folder on your computer. The LivePostDocuments folder is automatically created for you when you install the software. For Windows XP, 2000, 2003, and NT users, it is located inside your My Documents folder. For Windows Vista and Windows 7 users, it is located within your Windows username folder, inside the Documentssub-folder.
Important: The LivePost software is designed to look for files placed in the LivePostDocuments folder. If you save the file to another location, this process will fail and your Postcards will not be submitted for printing.
- After initiating, the LivePost Print Options window will appear. Place a check next to Enable Mass Mailing Documents.
- Enter a name for the Postcard, which will be referenced in Step 2 of this process (the name can be anything you like), and click Save for Mass Mailing.
- Close the Postcard Preview window, and then click Donein the Edit Postcard window.
Note: This process has created a Postcard Activity for the contact you selected above. Since this activity is not representative of the Postcard Mailout you will be performing, you will likely want to delete it. It can be deleted by opening the Contact Record, selecting the Activities Tab, and clicking the Delete icon next to the Activity.
Step 2: Create the Mass Mailing Template for your desired Contact List.
- In the Marketing Menu, select Create Postcard.
- In the Category pull-down menu on the right, select the LivePost Blank Postcard category, and then left click and drag the Mass Mailing Template into the Postcard Template box on the left. Click Next.
- Create a Description for this Activity. The description is what will appear in the activities list of each Contact Record.
- In the Contacts Box, click Search & Attach Multiple Contacts. Perform a search for the Contacts that you'd like to send the postcard to, and add them to the activity. If your mailout list spans more than one Contact Type, repeat the search for each Contact Type and add each group until they are all included (contacts will not be duplicated if they belong to more than one Contact Type). Click Create Postcard.
- The Preview Postcard page will display one page for each Contact added, containing only the mailing information for each Contact. At this point, you may look through each page of information and make any desired changes. Do not change/remove the <type> information, or change/remove any information contained within the < > brackets. When finished, click Print Postcard.
- This loads the Preview Activity window. Click the Save option in the preview toolbar.
- Once again, it is required that you save this file to the LivePostDocuments folder on your computer.
- After initiating, the LivePost Print Options window will appear. The name of the postcard document created in Step 1 will appear in the list and be highlighed. Click Print.

- A progress popup-will appear at the bottom of your screen.
When the box dissappears, your printjob has been transmitted to LivePost for processing. It should be ready within a few minutes and can be viewed (and if necessary, approved) from within your LivePost Account: http://www.postnexus.com/livepost.
- Close the Preview window, and in 8i you may click Mark Done to complete this activity and store it in the Completed Activities list of each contact.
