Many of the tasks that you need to perform in order to get listings, make sales, and complete closings, are detail-driven, date-sensitive, and difficult to stay on top of. Tracking long-term tasks (e.g. birthday and anniversary cards), medium-term tasks (e.g. listing expiry and closing dates), and immediate-term tasks (open houses, showings, and day-to-day appointments) are all vital to keeping current business rolling and new business coming in. Plans are predefined collections of tasks that make sure you don't lose track of any of your business activities. They are inserted into your calendar and displayed as they're due in the My Business portlet on the Dashboard.
There are four types of default plans available in Top Producer 8i:
Action Plans: Plans you can apply to contacts, leads, and referrals. These plans are designed to keep you in touch with past clients and to keep prospective clients aware of the services you offer.
Listing Plans: Plans (such as listing checklists) you can apply to listing records. These plans are designed to prompt you through the process of selling a property.
Closing Plans: Plans (such as closing checklists) you can apply to closing records. These plans are designed to prompt you through the process of closing a sale.
Service Report Plans: Service report plans allow you to automate the process of creating reports of listing and closing services.
Action, Listing, and Closing Plans enable you to target virtually any demographic segment or customer group. Using an existing or new plan, you can schedule a predefined series of tasks and associate them with selected targets.
Once applied, you can prioritize your activities, set drop off dates, and assign them to an assistant for follow up. Once an action/listing/closing plan has been applied, the scheduled activities appear in your Calendar and Activities Summary.
