The easiest way to keep in touch with your leads is using the action plan feature. Action plans automatically schedule a series of follow-up activities for you, making it easy for you to develop new business opportunities.
There are two ways to link an action plan to a lead – to a new lead you’re adding into Top Producer 8i, and to an existing lead.

Applying an Action Plan to a New Lead

1. From the Lead Management segment of the Add Lead form, select an appropriate action plan from the Apply Action Plan drop-down list.
   
   

2. Once you click the Add Lead button, the action plan’s activities are linked to the saved lead.

   Note: You can only assign action plans when creating new leads from the Add Lead form. The Quick Lead portlet only allows you to enter very basic lead information.

Applying an Action Plan to an Existing Lead

1. Open a lead to view his or her full details on the Lead Details form.
2. From the Activities tab, click the Select Action Plans link.
3. A small window opens on the Activities tab displaying a list of all action plans. Place a check mark next to the ones you’d like to apply and select a Start Date by using the pop-up calendar or typing the date into the field (YYYY-MM-DD).

   

4. Click the Save button to apply the action plan to the lead, and display the action plan activities from the Activities tab.

   

   The Plan column lets you know from which plan the activity came.

   Tip: You can also apply an action plan from the Leads Summary page. Click the Apply Action Plan icon next to a lead and select an action plan.

Removing an Action Plan from a Lead

Removing action plans is as easy as applying them.

1. From the Activities tab of an open lead, click the Select Action Plans link.
2. Uncheck any action plans you no longer want to use and click the Save button.
3. The system automatically removes any incomplete activities for the selected action plan. Completed activities will not be removed.
