Top Producer Outlook Connector (TPOC) Usage
Product Description:
TPOC is an add-in component for the customer's
desktop version of Microsoft Outlook. The TPOC allows the user to use Outlook for
personal email messages rather than 7i's My Email features, while maintaining the
ability to link email messages to the contact history.
Note: 7i users will still use Top Producer 7i to compose email messages for mass
distribution. The Outlook Connector is intended to manage personal email communications
with contacts, not mass email campaigns.
TPOC integrates Outlook with Top Producer 7i in the following ways:
- When sending single email messages from within Top Producer 7i,
(by clicking an email address in a contact record for example) Top Producer Outlook
Connector launches Microsoft Outlook rather than 7i's My Email feature.
- When sending email from Microsoft Outlook, the Outlook Connector
gives you the option of sending a copy of the message to Top Producer 7i for inclusion
in the recipient's contact history.
- The Outlook Connector allows the user to manage their @topproducer.com
email account and any additional email accounts within Outlook.
- Finally, the Outlook Connector enables the user to search their
Top Producer 7i contact list and add contacts as message recipients, all from within
Microsoft Outlook.
Using the TPOC from within Microsoft Outlook
After the installation of the TPOC software, a new toolbar will be present at the
top of the Microsoft Outlook window. This toolbar contains two buttons; Copy to
TP (see below) and Help, which will direct the user to help documentation for TPOC.
Copy to TP
Any email message, whether it was sent from or received in Outlook can be copied
to TP7i. Simply highlight the email and click the Copy to TP button. Once copied
to TP7i the email will be marked with the category Top Producer. This allows the
user to quickly determine which email messages have been copied to TP7i
Note: When using the Copy to TP function, the email address of the recipient of
sent emails or the sender of received emails in Outlook needs to match an existing
contact in Top producer 7i. If it does not, the user will be prompted to login to
TP7i, create the contact and assign it an email address, then try the copy again.
The ability to create contacts based on Outlook messages is planned for a future
TPOC update.
Composing new messages
When composing a new message in Outlook, a new toolbar will appear at the top left
of the window. This toolbar will contain two new buttons, as shown in the image
below:
Select TP Contacts: Opens a search window allowing the user to add contacts from
their TP7i database
To Search for a Contact, type a combination of First Name, Last Name and/or Company
Name and click Search. Double-clicking a recipient will add the contact to the To
> field. You can select multiple contacts and then click either the To > , Cc >
or Bcc > button to add the contacts to the corresponding field.
Send and Copy to TP:
Clicking on this button sends the email to the recipient(s) and copies the email
to the Top Producer contact's history.
Viewing copied messages in TP7i
All messages copied to TP7i will be accessible as part of the matching contact(s)
history.
Note: Attachments copied as part of the email will be available as part of the history
record. The email messages in the history will be marked as Sent email or Received
email appropriately.
